| Proactive Communications Monitoring is a trend that leading government agencies and corporations are starting to embrace in highly regulated or high risk environments |
| It is a subject that CIOs and risk executives would be well advised to skill up on as they face the reality of ever-increasing quantities of unstructured electronic communication produced by and received by the typical company these days. With up to 80 percent growth per year in the electronic data volumes of many organisations and with that data stored in multiple places and in a myriad of formats, taking control and being at the ready to interrogate that data if required should become a core business practice. |
| Proactive Communications Monitoring does not mean constantly monitoring and reading every person's email. But it does mean regularly and automatically indexing the entire company's electronic communications data so that it is possible to instantly search all of it in the event that it is necessary. It could be a litigation or compliance event, or indeed a question asked of a leader in Parliament or a Freedom of Information request. |
| If the data is regularly processed and indexed by a credible electronic investigation platform such as Nuix, it is then possible for terabytes - or even pedabytes - of data to be searched incredibly quickly so that an organisation can respond to an urgent investigation in the most efficient way. |
| Some email archive vendors would have you believe that email archiving is enough! Alas, although email archivers are good at storing emails, they struggle to provide any real capability to index or forensically investigate even their own archives, let alone other formats or storage devices. Email archives take a superficial index of emails, making it useful for the actual user to find their own information, but little else when it comes to investigation. |
| By contrast, it is now possible to use a dedicated electronic discovery and email investigation platform which enables the automatic indexing of an organisation's entire email exchange server every day, so that there is a searchable index of the contents. This would include any new communication that has left or been received by the exchange server that day, such as emails and their attachments. |
| Some organisations in very highly regulated environments or high risk environments take it a step further and run daily automated searches with specific terms to identify intellectual property that is distributed externally via email despite being prohibited or proprietary content, various search terms on confidential topics to catch illicit emails, skin-tone analysis searches on images in and attached to emails to identify pornography / child pornography being sent into or out of the company etc. |
